When you book a Sand Sea Spa Retreat, you accept the following terms and conditions. Please note that you must be over the age of 18 to attend a retreat. In light of the COVID-19 pandemic, we have taken extra precautions to protect our guests’ health and safety. If you have any questions or concerns, please email us at hello@sandseasparetreats.com.
1. Health and safety
- If you have an injury or medical condition, it is your responsibility to inform Sand Sea Spa Retreats when you book your retreat and to inform each individual trainer before each session during your retreat. We advise you to consult a doctor before attending a retreat to ensure you are in good health.
- If you feel any discomfort, sustain/worsen an injury or feel ill during your retreat, you must stop immediately and let your trainer know.
- If you are pregnant or hope to get pregnant, please contact us before booking your retreat so we can discuss your individual requirements.
- You must complete a Physical Activity Readiness Questionnaire (PAR-Q) at the start of your retreat.
- You must not participate in any of the retreat activities under the influence of alcohol, drugs or both. Doing so will result in dismissal from the session and/or retreat and no refund will be given.
- Some of our retreat activities take place outdoors. We do not take responsibility for any injuries caused by uneven terrain.
- We reserve the right to stop your participation in a retreat activity if we conclude that you are not physically or mentally fit to participate.
- We will not accept liability for events beyond our control, such as loss, injury or damage to you or your personal property during the retreat, or for any physical or mental health conditions that develop during or after your retreat.

2. Changes to our retreats and pricing
- We reserve the right to change our retreat timetable and activities depending on the weather. We will advise you of these changes as soon as reasonably possible and aim to keep disruption to a minimum.
- We reserve the right to increase the price of your retreat before you submit your booking.
- We reserve the right to reduce the price of our retreats and/or run special offers. If you have already made your booking, these changes will not apply to you.
3. Third party costs and responsibilities
- Your travel arrangements and transport costs to and from the retreat are your responsibility and are not included in the price of the retreat.
- Your retreat is full board and includes breakfast, lunch and dinner. It does not include drinks from the bar or room service.
- Any treatments you book at Source Spa are in addition to the price of your retreat.
- Any treatments you book at Source Spa are the responsibility of Saunton Sands Hotel not Sand Sea Spa Retreats.
4. Cancellations by you
There is no cooling-off period when booking any of our retreats.
If you need to cancel your Sand Sea Spa Retreat, please write to hello@sandseasparetreats.com.
The following cancellation fees will apply. As we need to book accommodation and make other arrangements for your retreat, there will be no exceptions to these fees.
We will respond to you within five working days of your cancellation email to explain which cancellation fee applies.
Refunds will be made to the credit or debit card on which payment was made.
Please see our COVID-19 policy (section 6) for details of cancellations by you or us due to the virus.
- If you cancel your retreat up to 90 days before the start date, we will refund 75% of the cost of your retreat.
- If you cancel your retreat between 60 and 89 days before the start date, we will refund 50% of the cost of your retreat.
- If you cancel your retreat between 30 and 59 days before the start date, we will refund 50% of the cost of your retreat and give you a credit note for the other 50%. The credit note is valid for two years from the start date of your cancelled retreat.
- If you cancel your retreat less than 29 days before the start date, we will not provide a refund or credit note.
- If you do not attend your retreat, arrive late or leave mid-way through, we will not provide a refund or credit note.
- If you would like to transfer your place to someone else who you know and forfeit your rights to a refund or credit note, please inform us by email when you cancel your booking so that we can contact them directly.
- We recommend that you have fully comprehensive travel insurance, which covers global pandemics, such as COVID-19.
5. Cancellations by us
Sand Sea Spa Retreats reserves the right to cancel and change the start and end dates of any retreat. Refunds will be made to the credit or debit card on which payment was made.
- If we cancel your retreat, we will refund the cost in full or provide a credit note that is valid for two years from the start date of the cancelled retreat (your choice of refund or credit note).
- If we change the start and end dates of your retreat, we will inform you as soon as reasonably possible. If you are unable to attend on the new dates, we will refund the cost in full or provide a credit note that is valid for two years from the start date of the cancelled retreat (your choice of refund or credit note).

6. COVID-19
- We understand that the COVID-19 pandemic and changes to government guidance might affect your plans so:
- All Sand Sea Spa Retreats that have to be cancelled due to government guidance on COVID-19 (e.g. new travel restrictions or social distancing rules) will be transferable to another retreat date or refunded in full.
- If you have to cancel your booking because of a positive COVID-19 test and/or having to self-isolate, we will try our best to book you onto another retreat but we cannot guarantee this.
- The Saunton Sands Hotel (where Sand Sea Spa retreats take place) has been awarded the Good To Go Accreditation by Visit Britain and the COVID Confident Accreditation by the AA. The hotel’s processes include enhanced cleaning and sanitising of surfaces, screens, door handles and equipment throughout the day.
- Hotel and retreat staff adhere to government guidance regarding testing and self-isolation if they or a member of their household tests positive for COVID-19.
- Hotel staff and retreat staff wash and sanitise their hands frequently.
- Retreat staff wear appropriate PPE (e.g. face coverings) when required and follow government guidance on social distancing.
- Hand sanitiser is available for guests in various areas of the hotel.
- To protect everyone’s health, we ask all our retreat guests to take a lateral flow test before they arrive.
- If you experience any symptoms of COVID-19 during the retreat, please inform a member of our team or hotel reception immediately. If you are in your hotel room, please stay in your room until we have spoken to you.
- We recommend that you have fully comprehensive travel insurance, which covers global pandemics, such as COVID-19.
- The COVID-19 policy for Sand Sea Spa Retreats will be reviewed regularly in line with UK Government guidance. You can find this at https://www.gov.uk/coronavirus
7. Privacy
- As your retreat takes place at the Saunton Sands Hotel, we will share your name, contact details and dietary requirements with the hotel.
- We will not share your information with any other third party without your permission.
- We will use your details to send you information about our retreats. You can unsubscribe at any time.
8. Complaints
- If you have a problem during your retreat, please inform a member of our team immediately so they can try to put things right. If your problem cannot be solved at the time, please write to hello@sandseasparetreats.com when you return home.
